Finance and admin executive

Type: Self-employed, 20hrs a week

Reports to: Chief Executive

Salary: Day rate as agreed

Location: Office (Ashford)/Home-based

Purpose of the Job

To form part of a flexible team and to provide administrative and accounts support to meet the business needs of the company.

Main duties and responsibilities:

  1. Carry out all book-keeping duties using the company’s Xero Accounts.
  2. Prepare the end-of-year accounts in collaboration with the auditor.
  3. Provide specific financial data and reports (P&L, forecasting, project budgets, end of year accounts) as requested by the team, as well as for the AGM.
  4. Maintain and monitor financial processes on Xero relating to expenditure and income, prepare invoices and credit notes, and identify, investigate and report any anomalies to the Chief Executive.
  5. Carry out the pay roll for up to 3 employees.
  6. Point of contact for small expenses and office supplies expenses.
  7. Monitor and chase outstanding debts in agreement with the Business Development Manager.
  8. Assist with general administrative duties and events as required by the team.

The role requires 20 hours a week, with hours worked per day to suit and be flexible around contractor’s own arrangements and with at least 7.5hrs per week worked at the Produced in Kent office. Contractor may be required to provide essential cover in the office.

Qualifications

  • Book-keeping qualification
  • At least three years of book-keeping experience
  • Experience of working in a small team is an advantage

Skills

  • Sound knowledge of XERO, EXCEL, Microsoft, IT savvy
  • Excellent interpersonal communication skills
  • Ability to work independently and take initiative, can-do attitude
  • Ability to prioritise tasks and work to tight deadlines
  • Eye for detail
